Active PT ("we", "our", "us") take your privacy very seriously. Carly Robinson, trading as Active PT, is the data controller for the personal data we process about you.

Carly Robinson, trading as Active PT, is registered with the Information Commissioner’s Office (the ‘ICO’) as a data controller under registration reference C1693607.
This Privacy Notice sets out how we use and look after the personal information we collect from you. We take reasonable care to keep your information secure and to prevent any unauthorised access to or use of it.
What personal data we hold on you

Personal data means any information about an individual from which that individual can be identified.
We collect, use, store and transfer some personal data of individuals who register on our website ("members") and book our training services.
You provide information about yourself when you register with us, and by filling in forms online, or by corresponding with us by phone, e-mail or otherwise.
The information you give us may include your name, date of birth, address, e-mail address, phone number and the contact details of a third party in the case of emergency. We may also ask for relevant health information, which is classed as special category personal data, for the purposes of your health, wellbeing, welfare and safeguarding. Where we hold this data it will be with your explicit consent.
Where we need to collect personal data to fulfill our responsibilities and you do not provide that data, we may not be able honour or administer your membership.

We may record and store video footage or still images of members during Personal Training or Group classes. Members will be notified prior to recording and given the opportunity to object to being recorded.
Why we need your personal data

The reason we need members personal data is to be able to administer memberships, and provide the membership services you are signing up to when you register with us. Our lawful basis for processing your personal data is for our performance of a contract with you, because you have consented to our use of your personal data, or because it is in our legitimate business interests to use it.
Your personal data may be used for the following purposes:
a. Providing and managing your Account;
b. Providing and managing your access to our website;
c. Supplying our services to you. Your personal details are required in order for us to enter into a contract with you.
d. Personalising and tailoring our services for you.
e. Communicating with you. This may include responding to emails or calls from you.
f. Supplying you with information by email (you may unsubscribe or opt-out at any time by ticking the unsubscribe box on any correspondence we send you).
With your permission and/or where permitted by law, we may also use your personal data for marketing purposes, which may include contacting you by email with news, and offers on our services. You will not be sent any unlawful marketing or spam.

Who we share your personal data with

When you register to become a member, your information will be entered onto the WIX contact database for the purpose of managing your membership and for marketing purposes. WIX is administered by Wix.com (UK) Limited, 30 Old Bailey, London, EC4M 7AU.

As part of our initial assessment for membership you will complete online questionnaires via Google Forms. These are administered by Google.
Before your membership can be confirmed, you will also complete an online consent form via Bolo Forms. These are administered by Closer Innovation Labs Corp, 8 The Green, Dover, Delware, 19902.

When booking classes, your name and email address will be entered onto the Stripe payments platform which is used by us to collect payment of class fees and subscriptions. Stripe is administered by Stripe Payments UK Ltd, 9th Floor, 107 Cheapside, London, EC2V 6DN. Stripe Payments UK Ltd is authorised by the Financial Conduct Authority as an Electronic Money Institution (reference no. 900461) for the issuing of electronic money and provision of payment services.
The information you provide to Stripe will be governed by a separate agreement between you and you will provided with their terms and conditions. Please read these carefully. We are not responsible for how they protect or use your data.

We may share your personal data with selected third parties, suppliers and sub-contractors. Third-party service providers will only process your personal data for specified purposes and in accordance with our instructions.

We may disclose your personal information to third parties to comply with a legal obligation; or to protect the rights, property, or safety of our participants, members or others.
Our data processing may require your personal data to be transferred outside of the UK. Where we do transfer your personal data overseas it is with the sufficient appropriate safeguards in place to ensure the security of that personal data.
Protection of your personal data

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.
How long we hold your personal data
​
We keep personal data on prospective members and members while they continue to be a member or are otherwise actively involved with us. We will delete this data 18 months after a member has left or otherwise ended their membership or affiliation, or sooner if specifically requested and we are able to do so. We may need to retain some personal data for longer for legal or regulatory purposes.
The personal data that you provide to Stripe is subject to their respective privacy policy and we advise you review that policy together with this notice. If you would like your personal data to be deleted by Stripe please contact them.

Video footage or photographs of members will be stored for as long as we deem it useful. Video footage and photographs will be reviewed annually and any unnecessary images will be removed.
Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.
As a data subject you are not obliged to share your personal data with us. If you choose not to share your personal data with us we may not be able to register or administer your membership.
We may update this Privacy Notice from time to time, and will inform you to any changes in how we handle your personal data.
